  Toner Pirate Alert Letter to Customers

Dear [insert your customer's name]:

      An alarming situation has come to my attention.

      Yesterday a friend of mine - a local businessman - told me about a "great deal" he had just gotten on copier toner.  It seems his office manager bought the toner from a caller who said the toner price was "going up soon" but there were still "a few cases left at the old price," the "old price" being $649.50.  Unfortunately, the reality is that this toner has a current retail price of $479.40.  On top of that, the caller's case included "two bottles of toner with two more added for free," when the case should include 6 bottles of toner.

      This is not a new story.  I'm sorry to say that "toner pirates" have been operating in this area for many years.   Lately; though, it appears the calls have increased and when I hear a story like this, I feel an obligation to make our customers aware of what could happen in any company doing business today.  

     There have been actual cases where the toner delivered was generic toner even though it arrived in [insert manufacturer name] containers.  Upon inspection of this toner, [insert the manufacturer name] concluded that it did not meet their specifications and could have seriously damaged the copier.  This reality can be harsh to an unsuspecting customer.

How can you make sure this doesn't happen to you?


1.  Make all of your employees aware of the possibility of getting a phone call from someone pretending to be "your local supplier."

2.  Tell your employees to ask for a local phone number and to verify the phone number (if a number is given) by calling back.

3.  Never place a supply order with someone over the phone unless you are sure who the caller is.

4.  Know the names of your current suppliers and circulate these names and phone numbers within your organization.

        Knowledge is power and by keeping our customers informed, we hope to prevent the possibility of anyone else being bilked out of hundreds of dollars by fraudulent telemarketers.
